Privacy policy

1. Who we are

OurSportSpot is a platform that lets players find and book courts, fields, coaching, Pilates classes and tournaments at independent clubs, and lets those clubs manage their bookings. It is run by OurSportSpot, based in Dubai, United Arab Emirates.

2. What we collect

• Account details: your name, email address and password (stored only as a one-way hash, never in readable form). Optionally your mobile number, date of birth and profile picture.
• Player profile: gender (needed for ladies-only games and classes), your level in each sport, a short bio, the cities you usually play in and your language.
• If you sign in with Google, Apple or Microsoft: your name, email address and that account's identifier. We never receive your password for those accounts. If you use Apple's "Hide My Email", we receive an Apple relay address instead of your real one.
• Bookings and activity: what you book (courts, classes, coaching, tournament entries), when, the price and its payment status, the games you join, results you choose to record (visible only to you), and the communities you join and the messages you post there.
• Payments: card payments are handled by Stripe. We never see or store your full card number; we keep the payment reference, amount and status. Cards you choose to save are stored by Stripe.
• Location: only when you tap "Near me" or "Use my current location". It is rounded to about 100 metres, kept in a cookie on your device for 6 hours, never stored on our servers and never put in links you share.
• Technical data: your IP address, used briefly to protect logins and bookings against abuse, and the cookies listed below.

3. How we use it

• To create your account and log you in.
• To make, change and cancel bookings, take payments and give refunds.
• To send booking confirmations, reminders and notifications you can switch off in your account.
• To match you with games at your level, and to run communities and tournaments.
• To keep the service secure and prevent fraud and abuse.
• To answer your questions, and to meet our legal duties, such as keeping tax records.

We do not sell your data, and we do not use it to show you advertising.

4. Who can see your data

• The club you book with: your name, contact details and booking, so they can host you. Clubs keep their own customer records about the people who book with them.
• Other players: your name and picture in games, tournaments and communities you join. Your email and mobile number are hidden from them.
• Service providers who run parts of OurSportSpot for us: Vercel (hosting), Supabase (database), Stripe (payments), Google, Apple and Microsoft (sign-in), Resend (email) and Cloudflare (photo storage). They may only use your data to provide their service to us.
• Authorities, when the law requires us to.

5. Where your data is stored

Our database is hosted in Mumbai, India, and our service providers may process data in other countries, including the United States and the European Union. When data leaves the UAE we rely on our providers' contractual and security safeguards.

6. How long we keep it

• Your account and profile: while your account is open.
• Bookings and payment records: for at least 5 years, because UAE tax law requires us and the clubs to keep them. After you delete your account, our copies no longer show your name or contact details; the clubs you booked with keep their own records of your bookings.
• Community messages: until you or a community admin delete them, or your account is deleted.
• Security data such as IP addresses: only for the short time a limit applies, usually minutes or hours.

7. Your rights

Under the UAE data protection law you can ask to see the data we hold about you, correct it, delete it, receive a copy, or object to how we use it.

• Correct your details at any time on your profile page.
• Delete your account in the OurSportSpot app (Account), or email info@oursportspot.com from your account's address.
• For anything else, email info@oursportspot.com. We reply within 30 days.

8. Cookies

We only use cookies and device storage that the service needs to work. We use no advertising or tracking cookies.

• Your login (pp_session) and, for club staff, the dashboard you are working in (pp_as).
• Booking: holding a time while you book (pp_visitor) and booking for a community (sportech_book_group).
• Your choices: language (sportech_lang), sport (sportech_sport, sportech_sport_choice) and, only if you used "Near me", your rounded position for 6 hours (sportech_near).
• Security: a Google, Apple or Microsoft sign-in in progress (oss_oauth_google, oss_oauth_apple, oss_oauth_microsoft) and, while the site is in private preview, your access code (oss_access).
• On your device only: unsent chat messages and form drafts, and how you like to see availability.

9. Children

OurSportSpot is for people aged 18 or over. Younger players may only use it with a parent's or guardian's permission and supervision. If you believe a child has given us data without permission, email info@oursportspot.com and we will delete it.

10. Security

All connections are encrypted, passwords are stored only as one-way hashes, clubs' bank details are encrypted, and access to data is limited to what each account needs. No system is perfectly secure, so please use a strong password that you do not use elsewhere.

11. Changes to this policy

We will post any changes here and update the date below. If a change is significant, we will tell you by email or in the app before it takes effect.
